Your role…

As an Office Administration Assistant for ReSource Pro, you will ensure efficient operation of the ReSource Pro office by managing administrative tasks, office logistics, and vendor communication. You will also provide key administrative support, including scheduling and communication, and collaboration across teams to maintain a productive and professional workspace.

This is a part-time position located at our office in New York City.

After 3 months you will…

  • Complete general administrative functions and logistics of the office including supply management, maintenance, repairs, cleaning of office equipment, breakroom/kitchen supplies, and vendor management and communications
  • Coordinate with Lead Executive Coordinator to meet internal needs in a timely manner
  • Respond to all build and space matters, including security card access and working with the building management for other physical office needs, repairs, and requests
  • Maintain a system for sorting, tracking, and ensuring timely distribution of all mail and packages; prepare outgoing and retrieve and distribute incoming deliveries; purchase postage and other necessary mailing supplies
  • Execute all aspects of meeting coordination and preparation, including hosting visitors and guests
  • Coordinate with the ReSource Pro IT department or local resources to address technology issues and provide troubleshooting support for IT problems in the office as needed
  • Complete day-to-day administrative functions such as scheduling meetings, calendar management, prioritizing, and responding to inquiries
  • Maintain strong relationships with other departments' administrative support including offshore support teams to increase collaboration
  • Collaborate with members across the organization to keep projects moving forward maintaining professionalism expected of the office of the C-Suite
  • Foster a respectful and collaborative environment through upholding professionalism and by engaging in constructive and respectful conversations; support a positive workplace culture by promoting open, solution-oriented communication; encourage teamwork and collaboration while maintaining a focus on shared goals and productivity

What You Need to Be Successful…

  • High School Diploma or equivalent
  • 1+ years' experience of executive and/or administrative support
  • 1-2 years' experience with all forms of business communication, including event or office management support
  • Exceptional organizational skills and ability to multitask, manage multiple projects at once, and meet deadlines
  • Proven customer centric behavior
  • Strong communication skills - written, oral, and presentations
  • High-level of accuracy, detail orientation, and project management
  • Technologically savvy - proficient in MS Office - Outlook, Word, Excel, and PowerPoint

Your Compensation...
Our salary ranges are based on paying competitively for our size and industry, and are one part of the total compensation package that also includes annual bonus eligibility, benefits, and other opportunities at ReSource Pro. Individual pay decisions are based on a number of factors, including qualifications for the role, experience level, skillset, geography, and balancing internal equity relative to other ReSource Pro employees. The salary range for this role is $14.12 - $30.06 per hour. The salary range may vary based on the specific geographic location in which the candidate resides.
